EKLA Contest Terms and Conditions

The EKLA Energy Contest Registration Policy

The EKLA Bursary includes

  • An economic flight ticket to Mérida from June 12 to 17, 2017
  • Event registration package
  • Lunch and Dinner as outlined by the SES Schedule
  • Transportation between venues, the hotel, and airport
  • 5 nights’ accommodation (June 12,13, 14, 15, 16,17)
  • Access to all plenaries, keynote presentations, and workshops
  • Access to all SES hosted social events as outlined by SES Schedule

Eligibility

For a student to be eligible to win the EKLA Bursary the following requirements must be fulfilled:

  • Being a university student (Bachelor’s, Master’s and Doctoral or equivalent)
  • Having a professional English proficiency
  • Being over 18 years old by June 12, 2017
  • Residing in a Latin American or Caribbean country
  • Having a Latin American or Caribbean nationality
  • Having completed all the steps included in the description of the EKLA Contest on the SES 2017 website

The organizing committee can ask for any document or schedule an interview to validate the requirements stated before.

 

International Delegates

For international delegates requiring a visa, please read this carefully before you apply.

Once you have been selected for the KAS Bursary, you’ll have until March 28th to send a copy to ariel@studentenergy.org of all the documents you need to travel to México (visa and passport) or a certificate that shows your passport or visa is being processed. Otherwise, your Bursary will be canceled.

To make this easier for yourself and for the conference organizers, please ask us for a visa letter by sending an email to delegaterelations@studentenergy.org with the following information:

  • Nationality
  • Sex
  • Name as it appears on your passport
  • Where you will be submitting your application (if outside of your home country)

Cancellation Policy

Once your flight ticket is purchased, you are responsible for attending the Summit. If you cancel before April 22nd, you’ll have to pay for the cost of the flight ticket reassignment. If you cancel after April 22nd, 2017, for non-major medical or familial reasons, the cost of the flight will have to be covered by you.

 


 

Journey Extension

If you want to extend your stay in Mérida, you have until March 25th to send an email to ariel@studentenergy.org . All extra costs will have to be covered by the student. The extension can only be made after June 17, 2017. Your stay can only be of up to 30 days.

Code of Conduct
The following must be agreed to by all delegates in order to receive the KAS Bursary:

 

The Konrad-Adenauer-Stiftung (KAS), the International Student Energy Summit 2017 (SES 2017), the Universidad Autónoma de México or the Instituto de Energías Renovables, their officers, directors, employee’s, volunteers, members and representatives (hereafter referred to as “the University”) are not responsible for any claims including but are not limited to, injury or death, loss or damage of any kind sustained by any person while participating in the International Student Energy Summit, scheduled to take place on  June 1th – 16th, 2017 and all related activities.

 

The personal information requested on the registration form will be handled according to Mexican Personal Information Protection Law of July 5, 2010[1]. It will be used for the purpose of implementing this registration only. The purpose of this code of contact is to outline the acceptable and appropriate types of behavior at SES 2017 as defined by the Organizing Committee, in order to collectively maintain the integrity, spirit, and safety of the event.

 

All invited attendees of SES 2017, have the responsibility to act in a manner deemed respectable, safe and appropriate, and as an ambassador of their delegation through the duration of the event, dated June 13-16, 2017.

 

In this agreement, the term “unacceptable” behavior will be referred to as:

Any behavior that negatively affects the image and reputation of SES 2017 on any grounds, leading up to, and including, the duration of the event.

 

Any behavior that involves excessive alcohol consumption to the point where, damage has been incurred on SES 2017 or other venue property, violence or aggression, or any questionable behavior results, as deemed by the SES 2017 Organizing Committee, as well as the venues, volunteers, and staff.

 

Any behavior that, to the greatest extent, is contrary to the spirit of SES 2017 where good faith and professionalism are not exhibited by the SES 2017 delegate.

 

Any behavior that is contrary to the rules and regulations set forth by the venue hosts including Mexico’s Citizenship and Immigration office, which may include, but is not limited to, noise issues, damages, and other guest complaints.

 

Any behavior that is negative or disrespectful toward any party of SES 2017, including but not limited to, the Organizing Committee, Staff, Sponsors,

Security, Volunteers, Speakers and fellow delegates. Any breach of the above covenants, either accidental or intentional, that is deemed unacceptable by

the Organizing Committee, and as witnessed by Organizing Committee members, faculty, volunteers or other third parties, may result in, (in no particular

order ):

 

Initial warning and reprimand from the Chair or Vice-Chairs of the Organizing Committee.

Letter of apology submitted to all parties involved in SES 2017, or affected by said actions, including but not limited to, corporate sponsors, speakers, delegates, administration, school, or Organizing Committee. Reprimand from the SES 2017 Organizing Committee and the Citizenship and Immigration México Office.

Personal repayment that may have resulted from any negative or irresponsible actions during the event that are subject to repayment during or after SES 2017 has concluded.

Complete Dismissal from SES 2017 (as mandated by the Chairs or the Organizing Committee), and if serious enough, future Student Energy events.

The Organizing Committee reserves the right to uphold these repercussions during the competition. The Chair of the Organizing Committee makes the final decision with regard to the type and severity of the consequence subject to any one delegate or its delegation. Once a decision has been made, it will be communicated to the delegate and will be final.

 

Should any SES 2017 delegate cause damages to any of the venue hosts which may include, but is not limited to, noise issues, damages, and other guest complaints, you will be financially liable and will be charged the full amount by the SES 2017 organizing committee.

 

The SES 2017 Organizing Committee will act as if the delegate has read and understood all rules prior to attending SES 2017. The duration of this agreement, including its repercussions, applies to the entire event.

 

The signee will therefore be bound to any occurrences during the event and may be subject to any repercussions from various actions thereafter the event has concluded.

 

Student Resume Databank

The Resume Database is a collection of CVs from our international student energy delegate base and participation is completely voluntary. The database is managed by SES 2017 and resumes will be maintained for a period of one year. SES 2017 collects the resumes for the purpose of sharing the information with our sponsors and partners. Partners and sponsors are permitted access to the resumes for the purpose of screening and recruitment. If you choose to submit your resume, you consent to SES 2017 disclosing your personal information contained in the resume to our sponsors and partners only. Partners and sponsors are responsible for limiting their collection, use and disclosure of personal information in accordance with the above noted purpose, however, SES 2017 assumes no liability for their actions. SES 2017 will make every reasonable effort to protect your personal information from unauthorized access.
